Project Coordinator
JOB PURPOSE AND OVERVIEW
The Project Coordinator provides technical training, support, and administrative support to the Chief of IT and Court staff. The project coordinator will need to step in and learn the functions of the court while also learning the court’s new case management system, Odyssey. While learning, they will serve alongside the Information Technology Chief in information gathering, process building, and organization.
 
 
ESSENTIAL DUTIES AND RESPONSIBILITIES OF THE POSITION
The following duties indicate the general nature and level of work performed by the Project Coordinator They are not designed to contain or be interpreted as a comprehensive inventory of all duties, responsibilities and qualifications required of this position. Other duties may be required or assigned at any time.
 
  1. Process requests from the media, judicial officers, and other government entities for public records in a timely, accurate, and professional manner. 
  2. Knowledge of Zoom and the ability to learn the software utilized in this process.
  3. Utilize e-scribers and GovQA web-based applications to submit files.
  4. Back up the information technology department by assisting with minor help-desk duties and technology implementation. 
  5. Must demonstrate knowledge of how to operate technology (i.e., laptops, Desktop PCs, installing software, troubleshooting and connecting printers, managing input devices to cast from smart TVs, etc.)
  6. Compile, organize, and maintain in data in order to track monthly court numbers (i.e., how many evictions occurred each month, how many cases were successfully mediated, and etc.)
  7. Strong communication skills and the ability to keep people on task
  8. Online dispute resolution management through the ODR platform. 
  9. Develop standard operating procedures and facilitating projects. 
  10. With the assistance of the Court technology department, identify technologies that will improve and enhance these processes.
  11. In conjunction with the IT Director, coordinate training sessions including but not limited to sessions on case management and updated technology.
  12. Perform walk-throughs daily.
  13. Coordinate interpreters for the court.
  14. Excellent reading comprehension, attention to detail, and organization
  15. Work with Housing Court’s Chief of Information Technology and CIJIS staff to integrate new technology into existing court processes.
QUALIFICATIONS AND REQUIREMENTS
Associate degree preferred or any combination of training and work experience which indicates possession of the skills, knowledge and abilities listed above may be substituted for educational requirements.
  1. Knowledge of court system and procedure preferred.
  2. Knowledge of common office practices, procedures, and equipment.
  3. Strong grasp of Windows and Microsoft Office products (i.e., excel, word, outlook, etc.…)
  4. Ability to prioritize work, work independently without daily direct supervision. Must have good time-management skills, be highly organized and detail-oriented.
  5. Excellent interpersonal skills including the ability to develop and maintain effective working relationships with judges, Court employees, lawyers, outside agencies, businesses, and the general public.
  6. Ability to maintain sensitive and confidential information.
  7. Ability to effectively and professionally communicate verbally and in writing in English to diverse audiences.
  8. Must be conscious of and sensitive to the diversity within the Court’s jurisdiction and be able to interact professionally with diverse population of people from many different geographic, socioeconomic, religious, racial, and ethnic backgrounds.
  9. Professional appearance and demeanor appropriate for the position and expected of a representative of the Court.
  10. Demonstrated dependability, reliability, and excellent attendance record.
  11. Patience, objectivity, maturity, effectiveness under stress, initiative, adaptability, and sound judgment.

 The Project Coordinator is an at-will employee and serves at the pleasure of the Court; he/she is not in the classified civil service system and is not a member of a bargaining unit.
